Transactions - Import Transactions
The accounting software product offers the ability of importing data from different types of sources:
- Bank Statement QIF File: use this format when importing a bank statement transactions.
- CSV File: use this format when importing a bank statement transactions or transactions exported from other systems or manually added to a CSV file.
- Business Manager Exported Data: this feature allows to import all transactions exported from the business manager product
- Excel Files: this option can be used to import specific types of transactions such expenses or incomes.
This option available only for accounting software product designed for tax agents & accountants!
Importing Bank Statement
When exporting a bank statement, make sure to select either QIF or CSV format!
Follow the next steps to import bank statement into the accounting software:
- Click Transactions tab
- Click Bank Statement from the application toolbar
- The import bank statement window appears
- Click Browse and select the bank statement file type
- QIF: this is the recommended file type format when saving or exporting a bank statement
- Date Format: select the date format matches the exported bank statement, check the file contents preview section
- Default Expense Account: select the default expense account
- Default Income Account: select the default income account
- CSV: a CSV file requires more settings to be selected for a successful import
- Date Format: select the date format matches the bank statement file, check the file contents preview section
- Column Numbers: make sure to enter the correct column number to match the field name
- Category Rules: make sure to select the correct category option
- Default Expense Account: select the default expense account
- Default Income Account: select the default income account
- Row Heading: check this option if the first row of the CSV file contains a column heading
- Click OK to start the import process
- A list of all available transactions are displayed
- Adding an import rule: creating rules simplfy assigning the relevant accounts to individual transactions
- Description: review the current transactions description to find a pattern of repetitive description or keyword
- Account Category: select the relevant account category
- Link: click Link and the import statement rule window appears
- Rule Condition: select either contain or match
- Rule Description: if you select contain as a rule condition, then make sure to use a unique keywords that represent a repeated transactions
- Account: select the new rule's account
- Click Save and all matched transactions shall be linked and assigned the new rule's account
- Deleting an import rule:
- Un-link: if you wish to remove a rule, click Un-link
- A delete warning message appears, click Yes to confirm or No to cancel the delete process
- Draft copy: this option can be used when you don't have enought time to finish reviewing all transactions in one session.
- Click Save Draft to save your work as draft copy
- Click Advanced Search available only with transactions saved as draft
- Click Delete Draft a delete warning message appears, click Yes to confirm or No to cancel the delete process
- Check Transactions: evaluates transactions against the transactions found in the current business file, a relevant icon shall be used to indicate, duplicate, or partial matching.
- Review all transactions and assign an appropriate account to reflect the transaction type
- Place a check mark next to each transaction that you wish to import, unchecked transactions will not be imported
- Click Import an import warning message appears, click Yes to confirm or No to cancel the import process
It is highly recommended to export a bank statement as QIF file, qif files offer less settings than CSV files.
When are no defined import rules, default accounts are assigned based on the transaction type. If a matching rule found, then the assigned account will be used.
Do not include the same keyword in multiple rules, doing so might assign the incorrect account to the matched transactions.
When you define a contain rule condition, make sure to use more than one work or few letters as the rule evaluates the transactions description and if it find any part matching the rule settings, the rule's account will be assigned to the evaluate or matched transaction.
Saving a draft copy does not import the current transactions into the business file, you must click on import once you have finished reviewing and assigning the relevant accounts.
After a successful import, if a draft copy is detected, you will receive a warning message to either delete the draft copy or keep it.
It is highly recommened to delete any draft copies after a successful import of all transactions unless you are processing a partial import.
Importing Business Manager Transactions
Available for porducts designed for tax agents & accountants
Follow the next steps to import transactions exported using the business manager software:
- Click Transactions tab
- Click B.M. Trans from the application toolbar
- The import business file transactions window appears
- Click Browse and select the file exported via the business manager software
- Transaction Type this is where you find the total number of transactions per type such as income, expense or payroll transactions
- Update customer's address select this option if you want to update the selected customer's details
- Employees Display Name this is where you will see all new employees, or employees that you have recorded in a different display name
- Chart of Accounts this is used to evaluate chart of accounts in the imported file with the current chart of accounts, any chart of accounts that is not found will be listed in this section. Tax agents should select the proper account as a replacement account before trying to import any transactions
- Transactions Preview all available transactions are listed under this section
- Click Import and confirm the import process
If the selected client do not match the client name and ABN in the selected file, an error notification shall be displayed. This error designed to prevent tax agents & accountants from adding transactions under the incorrect client name.
When there is no matching employee's display name, the employee will be added as new employee. To prevent duplicate records of the same employee, make sure the display name matches the display name in the imported file.
Duplicate transactions will have a duplicate indicator and will not be excluded from the import.
Importing Transactions from an Excel file
This feature is only available for adding new incomes or expenses!
Use this feature when you have recorded transactions into an excel file, or when you received transactions as an excel file from a customer or exported from a third party application.
Follow the next steps to import transactions from an Excel file:
- Access the New window for the expense or income feature
- Click Import Transactions and the import transactions window appears
- Click Browse and select the file exported via the business manager software
- Column Numbers make sure to match the correct column numbers for each field
- Sheet Number applies to excel files only, enter the sheet number where the transactions are saved, default to zero
- GST Option if you want to import the GST figures, check this option, otherwise the system will auto calculate GST based on the selected account
- Column Heading check this option if there is a column heading included in the excel or csv file
- Default Account select the default account
- Click Import
This feature supports csv or excel files only.
Check the file contents preview section to find out the matching column number.
You should check the GST option and assign the appropriate column number when you have transactions combined of GST and GST free amount.
The default account will be assigned to any transactions with no account, or unknown accounts.
This import will only pre-fill transactions, but does not automatically store the imported transactions, you must click Save after reviewing all imported transactions.
