Employees Setup
In this article we are going to provide some examples on how to setup different type of employees for the payroll purpose. When you setup the correct employees payment settings, every time a pay run is generated, the employee's payroll will reflect the exact settings that you defined for each employee. By doing this, you will simplfy the pay run process and require minimal time to spend creating new pay run.
This type of employee is paid through an hourly rate, the employee also entitled to annual and personal leave.
- Access the employee's Salary Details tab
- Under the Leave entitlement section, click button
- Select Annual Leave under the Leave Type and enter the number of weeks per year, default is 4 weeks
- Click button to add a second row and select Personal Leave under the Leave Type and enter the number of days per year, default is 10 days
- Now it is time to setup the Pay Types, under the pay types section, click button
- Select Ordinary Time Earnings under the Pay Type and enter the hourly base rate (example 32), enter the number of ordinary hours per week (38)
- Click button to add a second row and select Overtime under the Pay Type, enter the overtime rate (example 48) and enter 2 for the number of overtime hours per week
The number of hours should reflect the pay cycle, in the above example, a weekly pay cycle was used. If casual loading or penalty rate applicable, enter the appropriate percentage.
Everytime you generate a pay run, the above setup will be used to create the employee's payroll payment
This type of employee is paid through a fixed amount per week, the employee also entitled to annual and personal leave.
- Access the employee's Salary Details tab
- Under the Leave entitlement section, click button
- Select Annual Leave under the Leave Type and enter the number of weeks per year, default is 4 weeks
- Add a second row and select Personal Leave under the Leave Type and enter the number of days per year, default is 10 days
- Now it is time to setup the Pay Types, under the pay types section, click button
- Select Salary under the Pay Type and enter the fixed amount per week (example 1500)
The above setup is for an employee paid weekly, adjust the fixed amount based on the pay cycle setup
Everytime you generate a pay run, the above setup will be used to create the employee's payroll payment
This type of employee is paid through an hourly with casual loading, the employee is not entitled to annual or personal leave.
- Access the employee's Salary Details tab
- Change the Hours Per Wk to 15 and assuming the employee works 3 days per week
- Under the pay types section, click button
- Select Ordinary Time Earnings under the Pay Type and enter the hourly base rate (example 20), enter 15 under casual loading and enter the number of ordinary hours per week (20)
- Select Saturday Rate under the Pay Type and enter the hourly base rate (example 30), enter the number of saturday hours (2)
The Saturday Rate pay type is not a system pay type, you must add all the required pay types under the Setup - Pay Types and select the appropriate settings for each new pay type
Everytime you generate a pay run, the above setup will be used to create the employee's payroll payment
