SMTP Settings - Email Profile
An email profile is required when you want to send customers' transactions. You can also enable the SMTP feature for direct communication with your customers through your nominated email address instead of emails sent by Sooya email system.
If you don't setup an email profile, you will not be able to send emails to your customers.
If you don't setup your own SMTP, transactions are sent through the Sooya email system.
Adding an Email Profile
Follow the next steps to add an email profile:
- Click the Subscription menu
- Click SMTP Settings menu
- Click
- The add email profile window appears
- Title enter a friendly display name
- Email these settings are used when generating a bank file
- SMTP for direct communications with your customers or employees, you must enable this option
- Password enter the email's password
- SMTP Server enter the SMTP server name
- SMTP Port enter the SMTP port number
- Encryption select the email encryption type
- Message enter the email message content
- Mobile App Message if you own a mobile app, add your preferred message
- Signature enter the default email signature
- Click Save
This should be the password that you use to login to the above email address, passwords are encrypted when stored
You must obtain the correct SMTP settings from your email hosting provider, you should also test your email before moving into production.
Testing Email Settings
Before you attempt to send an email to your employees or customers, you must ensure that your email profile works as expected, you should test the new email profile following the next steps:
- Click
- Profile select the email profile to test
- Send From enter the friendly display name and the email address
- Password enter the email's password
- SMTP Server enter the SMTP server name
- SMTP Port enter the SMTP port number
- Encryption select the email encryption type
- Contact Name enter the SMTP port number
- Email To enter another email to test, such as your presonal email
- Click
You must obtain the correct SMTP settings from your email hosting provider, you should also test your email before moving into production.
Do not use the same email that you use for this email setup, you should use another email to test and check that you successfully received the test message.
If you receive a success message, means that your email profile settings are correct, you should also check the destination email to ensure that the email was successfully received.
When using a public email such as Gmail, make sure to enable the third party app acess within the email settings. For Gmail make sure to follow the instructions on the right panel of the SMTP settings window, please note that Google reset their settings when they detect the gmail wasn't used to send emails from a third party for a number of days.
Updating an Email Profile
Click the Edit button under the Action column next to the email profile that you would like to update
Updating the Email Signature
Click the Signature button under the Action column next to the email profile that you would like to update its signature
Reseting Password
Click the Reset Password button under the Action column next to the email profile that you would like to reset its password
Deleting Email Profile
Click the Delete button under the Action column next to the email profile that you would like to remove
